Job Description
Title: East Union School and Community Resource Assistant
& Before/After School Program Site Coordinator (ASPIRE Program Assistant)
Building/Department Assignment: Aspire More Building at Fairgrounds
Reports to: ASPIRE Program Director
Qualifications:
Program assistant helps in all operations as defined by the School and Community Resource Coordinator, performs a wide variety of duties related to the Family Resource Center and the Before and After School Programs, and manages the front office to provide a welcoming and efficient working environment.
Requirements:
- Earned a High School diploma or advanced degree
- Must be able to attend to detail and take tasks from start to completion in a timely manner
- Must be able to handle and prioritize multiple requests or tasks
- Must be courteous and cooperate with supervisors, the public, school staff and students
- Demonstrate keyboarding and computer skills
- Demonstrate good communication skills (face-to-face, telephone, e-mail, etc.)
Physical Requirements:
- Must be able to work in noisy and crowded conditions
- Must be able to do some lifting

Essential Responsibilities;
Performance Responsibilities: (For ASPIRE, FRC, Family Toy & Book Lending Library and Successful Beginnings Preschool)
Performs scheduled job in a quick and efficient manner
- Completes scheduled tasks as directed by School and Community Resource Coordinator
- Uses own initiative to get the work done
- Ensures that all activities conform to district guidelines
- Completes forms in accordance with school procedures
- Attends monthly meetings
- Composes, types, and distributes meeting minutes
- Conducts research to find needed information, using sources such as the Internet
- Plans projects and actively contributes as a team member
- Operates electronic mail systems and coordinates the flow of information both internally and with other agencies and the public
- Operates office equipment such as the fax machine, copier, and phone system, and uses computers for spreadsheets, word processing, database management, and other applications
- Locates and attaches appropriate files to incoming correspondences requiring replies
- Documents and forwards tuition payments to appropriate personnel
- Makes copies of correspondence and other printed material for ASPIRE program and FRC
- Creates informational material about ASPIRE and FRC, with Coordinator approval
- Delivers weekly newsletters, materials, and snacks to Primary and/or Intermediate Building
- Mails out correspondences as needed
- Opens, routes and distributes incoming mail
- Sets up and maintains an orderly paper and electronic filing systems for records, correspondences, and other material
- Informs Coordinator of needed supplies or materials and researches the cost
- Provides services to the public (i.e. FRC, assisting the public with the Food Pantry, copier, fax machine, computer, community events fliers and informational pamphlets. FLL, assisting the public with checking out the toys and books.)
- Proofreads printed material and recommends revisions
- Assists new staff or substitutes with operation procedcures
- Is willing to learn or take on additional tasks as time allows
Essential Responsibilities Specific to the Position;
Performance Responsibilities:
- Makes parental contacts as needed regarding cancellations, schedule changes, etc.
- Maintains and operates copier, printer, and fax machine; ensuring that supplies are stocked and maintenance is performed when necessary
- Operates office laminator and die cut machine when needed
- Creates and distributes monthly ASPIRE snack calendar (to meet USDA nutrition requirements), staff work schedule, and activity calendar
- Creates monthly grocery list of needed snacks and supplies for ASPIRE
- Maintains ASPIRE snack and supply cabinets and ensures that snacks are purchased, prepared, and delivered for ASPIRE
- Maintains front office area (clean, dust, water plants, organize book shelves and toys, etc.), 3 supply rooms, and a hallway work area
- Assists Coordinator in planning annual Adopt-A-Family project with an annual Food Drive
- Organizes Food Pantry and assists public when needed
- Assists Coordinator in planning and executing quarterly family events
- Organizes, catalogs, and maintains Toy & Book Lending Library
- Assists Coordinator in planning, organizing, and carrying out various fundraisers throughout the year (making phone calls, typing letters and reminders, creating supply and grocery lists, working at the event, preparing food, setting up and tearing down, cleaning up, etc.)
- Assists Coordinator in researching grants and additional funding sources
- Creates and updates monthly bulletin boards (2 at Intermediate building and 1 at FRC) for upcoming ASPIRE events
- Attends monthly staff meetings and planning sessions
- Takes meeting notes and creates and distributes the minutes to all persons involved
- Answers phone for Preschool, FRC and ASPIRE
- Takes and delivers clear messages
- Assists callers as needed
- Receives incoming package deliveries and routes the packages to the correct area
- Bills and maintains records for Preschool Wrap-Around, Preschool Tuition and Meals
- Works as a substitute Site Coordinator for ASPIRE as needed
- Helps create a clean, safe, enriching environment in the ASPIRE classroom
